TURNOVER

As we near the end of the year, our team will do our best to prepare our townhomes for the move-out/move-in process in August. This is a busy time, and there will be many moving parts to ensure vacated spaces are made move-in ready. Throughout the turnover season, from May – August, you must keep your keys (bedroom and exterior) on you at all times. Our crews will be locking doors and lock-out fees are expensive.

PRE-MOVE-OUT:  MAY – AUGUST

Beginning May 5th, we will start pre-move-out maintenance. This is a time for our maintenance team to inspect the townhome and repair any small items that can be repaired in advance. Additionally, in preparation for painting (starting May 20th), anything held to the wall with adhesive (sticky tack, tape, command hooks, led light strips) will be removed. Per the lease agreement, nothing is supposed to be held to the walls with adhesive. Please remove the items prior to May 5th to avoid them being removed by our team.

During pre-move-out, damaged, or dirty blinds will be replaced. Please clean your blinds prior to May 5th to avoid being charged for replacement blinds. Additionally, any light bulbs that are out will be replaced, so please be sure to replace any light bulbs that are out prior to May 5th.

  • No One in My Townhome is Moving Out: There is nothing that you’ll need to do. We won’t have to complete any turnover work for your townhome.
  • Not Everyone in My Townhome is Moving Out: Pre-Move-Out maintenance will be completed in the common areas for the new guests that are arriving as well as the bedrooms that are being vacated. If you have renewed your bedroom, we will not complete pre-move-out in your bedroom.
  • Everyone in My Townhome is Moving Out: We will complete pre-move-out for the common areas and all of the bedrooms.

PAINTING PREPARATION:  MAY – AUGUST

Beginning May 20th, our painting partners will begin painting for any townhomes that are being vacated. Similarly to pre-move-out, our painting partners will work from townhome to townhome to paint vacating spaces in preparation for the upcoming new guest move-ins.

  • No One in My Townhome is Moving Out: There is nothing that you’ll need to do. We won’t have to paint in your townhome.
  • Not Everyone in My Townhome is Moving Out: The painters will work in any bedroom that is being vacated to complete turnover painting. The painting contractors will remove anything from the walls to complete their painting, and they will not re-hang pictures or other items that are removed from the walls to avoid re-damaging the space. To avoid any issues, please remove the items yourself before May 20th to allow an easier process for patching any holes from nails/hangers.
  • Everyone in My Townhome is Moving Out: Painting will take place in the common areas as well as all three bedrooms. The painting contractors will remove anything from the walls to complete their painting, and they will not re-hang pictures or other items that are removed from the walls to avoid re-damaging the space. To avoid any issues, please remove the items yourself before May 20th to allow an easier process for patching any holes from nails/hangers.

MOVE-OUT/MOVE-IN:  AUGUST

In August, we will have nearly 300 guests moving out, and we’ll have nearly 300 guests joining us for the first time. This is a wild and busy month! Cleaning, carpet cleaning, maintenance, and painting will still continue to take place as well as inspections and re-inspections. It takes a monumental amount of work in a very short amount of time to make everything as move-in-ready as possible for the new guests. Below is information regarding move-out/move-in:

GRADUATE LEASES

Move-Out:  August 3rd, 2024

Move-In:  August 11th, 2024

UNDERGRADUATE LEASES

Move-Out:  August 5th, 2024

Move-In:  August 24th, 2024

  • No One in My Townhome is Moving Out: There is nothing that you’ll need to do. We won’t have to complete any turnover work for your townhome.
  • Not Everyone in My Townhome is Moving Out: An inspection of the full townhome will be completed. Damages will be repaired in the common areas. Cleaning, carpet cleaning, and painting will take place in the bedrooms that are being vacated, but these items will not take place for the common areas (since they are actively occupied). It is the responsibility of all guests to make the common areas welcoming. If they have not been cleaned up and made ready for the new guests, we will send in cleaners at the expense of the vacating and renewing guests.
  • Everyone in My Townhome is Moving Out: An inspection of the full townhome will be completed. Damages, cleaning, carpet cleaning, and painting will be completed in the full townhome.

A copy of the Security Deposit Manual can be found at the top of the page. Following this manual will ensure you get the maximum amount of your security deposit returned to you. Carpet cleaning charges are automatically withheld as part of your lease agreement. Cleaning is assessed on a timed basis. Anything about 30 minutes of cleaning required per bedroom is charged to your security deposit. Things like tubs/showers and toilets take a lot of time – give these areas a lot of attention. Anything above 1 hour of cleaning in the common areas is charged to your security deposit. Things like appliances take a lot of time. — give the appliances a lot of cleaning attention (including the washer/dryer).

COMCAST/XFINITY EQUIPMENT

Since cable/internet equipment is resident guest responsible, that means you may have to return or switch equipment over to someone else before leaving. How does that work?

  • No One in My Townhome is Moving Out: There is nothing that you’ll need to do. Your service and equipment will continue working uninterrupted.
  • Not Everyone in My Townhome is Moving Out: Who is responsible for the equipment? If that person is leaving, they can transfer the equipment to one of the renewing guests or they can return the equipment to Comcast/Xfinity and the renewing guest can create their own account with new equipment. If the person responsible for the equipment has renewed, the service and equipment will continue working uninterrupted.
  • Everyone in My Townhome is Moving Out: The person responsible for the equipment will have to return the equipment to Comcast/Xfinity to ensure they are not charged for the equipment.\

SURRENDER OF POSSESSION

When you leave, you must complete a Surrender of Possession (above) and turn in a completed form (with your forwarding address) along with the keys. Forms and keys will be available in the entryway to the clubhouse. You may drop the forms and keys in the rent drop box after hours. If you are subletting, your sublet may turn in the keys, but you will need to turn in the surrender of possession. You may email it to us instead of dropping it off in person. If we do not have a completed form, including a forwarding address, we will not be able to process your security deposit refund.

SCHEDULING AN INSPECTION

If you are moving out, you may schedule an in-person inspection with us. During the in-person inspection, the inspector will complete the inspection as usual and provide you with a copy of the inspection sheet. Since we have limited staff, we can only schedule inspections on move-out day (August 3rd for Grad Leases; August 5th for Undergrad Leases – check your lease to confirm your move-out date). We can only complete one inspection per townhome, so be sure to coordinate with your housemates who want to be present for the inspection.
